Can I schedule events on behalf of other people?
Yes, in general Broadies have access to one another’s calendars (unless settings have otherwise been changed). Please be sure to communicate with your event participants via email, chat, phone, or in person to confirm a convenient time. Be diligent about scheduling events mid-day, as people may often have a free hour in their calendar, which may be their time for lunch!

- To the right of "Other Calendars," click the dropdown menu (arrow button).
- Click Browse Interesting Calendars > More > Resources for Broad Institute.
- Next to the resource you want, click Subscribe. This adds the resource to your "Other Calendars" list.
How do I show or hide calendars (already subscribed to)?
On the left side, under the “My calendars” or “Other calendars” section, click the square to the left of the calendar’s name. A box with a color indicates that the calendar is shown; an empty box indicates that the calendar is hidden.
Why can’t I access certain conference room calendars?
Due to more restrictive permissions, certain conference room calendars at the Broad are not available to be booked by the general Broad community. To gain access to these calendars, or to request events be added to these calendars, Broadies need to make a request to the designated moderators of these calendars (check with Communications or Admins for further info). In general, this applies to the larger spaces such as: 415M Lobby, Board Room, Auditorium, Monadnock, Yellowstone.

Should I make my calendar private, or keep my calendar visible to other Broadies?
Each person may decide what work best for them, but BITS suggests keeping your calendar visible to other Broadies. This is advantageous so that teammates may find you when you’re not at your desk. Additionally this is helpful to admins or teammates who frequently schedule meetings and coordinate schedules. (Tip: You always have the option to make individual calendar events private on a case by case basis - for example, a doctor’s appointment.)

What do the numbers and letters mean in the names of conference room calendars?
The number indicate the room’s location, as well as the room’s capacity. The letter V indicates video capabilities (i.e., a projector or monitor), and the letter C indicates the room has a computer.
